Virtual assistant pricing

How much does a virtual assistant cost?

A virtual assistant typically costs $8 to $20 an hour from the Philippines, Latin America or other offshore markets, and $25 to $60 an hour in the US. Specialists in bookkeeping, marketing or development charge more. A full-time dedicated offshore assistant through an agency usually costs about $1,500 to $3,500 a month, with recruiting, payroll and replacement handled for you.

What you pay for a virtual assistant depends on three things: where they live, what they do, and whether you hire them yourself or through an agency that recruits, trains and manages them.

Freelancer, agency or dedicated VA?

  • Freelancer: lowest rate, most work for you. You interview, train, check the work and find a replacement if they leave.
  • Task agency: a pool of assistants shares your work. Flexible, but you rarely get the same person twice.
  • Dedicated VA through a managed service: one person who works only for you, with the agency handling hiring, payroll, equipment and replacement. Costs more per hour than a freelancer and less than a local hire.

Our comparison of a virtual assistant vs an agency covers which fits which job.

The costs people forget

Count your own time to recruit and train (often 10–20 hours), software seats such as Microsoft 365 or your CRM, overlap with your business hours if you need live calls answered, and what happens when the assistant is sick or quits. A cheap hourly rate with constant turnover is the most expensive option.

To decide whether it pays off, add up the hours you spend on admin each week and what an hour of your time is worth. Our article on the ROI of a dedicated VA shows the math, and how to hire a virtual assistant covers the process.

CasperB2B places dedicated virtual assistants, from admin and customer service to bookkeeping, marketing and IT support, and quotes the monthly cost for your role on a 15-minute fit call.

Virtual assistant cost questions

How much does a full-time virtual assistant cost per month?

Roughly $1,500 to $3,500 a month for a dedicated full-time offshore assistant through an agency, depending on skills and hours. A US-based full-time VA usually costs far more.

Is it cheaper to hire a VA directly?

The hourly rate is lower, but you take on recruiting, payroll, international payments, training and replacement. Many owners find a managed service cheaper once their own time is counted.

What can a virtual assistant do?

Email and calendar, customer service, data entry, CRM updates, bookkeeping, social media, lead research, appointment setting and more. See our list of virtual staffing roles.

Do virtual assistants work US hours?

Many offshore assistants work US business hours by agreement. Confirm the overlap you need before you hire.

How do I keep my data safe with a VA?

Give each assistant their own login with multi-factor sign-in, share only the systems they need, and use a password manager instead of sending passwords.

Part-time or full-time?

Start part-time if you have under 20 hours of delegable work a week. Full-time dedicated assistants make sense once a role is clearly defined and steady.

How fast can I get a virtual assistant?

Freelancers can start within days. A vetted dedicated assistant through a managed service usually takes one to three weeks, depending on the role.

Common concerns, answered

“Hiring is a hassle.”

For Casper VA roles we handle recruiting, HR and payroll, so there are no payroll taxes or benefits for you to manage.

“What will this cost me?”

You get a fixed, written quote before any work starts. Nothing begins until you've seen the full price and signed the scope. How pricing works.

“I've been burned by an agency before.”

Your signed scope lists exactly what's delivered, so there's no guessing. Monthly plans are month-to-month, with no long-term contract.

“Will I actually reach a person?”
